Roots & Routes specializes in curated group travel experiences with fixed itineraries. While we cannot customize trips for individuals within a group, we offer private group options for those seeking a personalized itinerary.

Is a deposit required to secure my spot?

Yes, a non-refundable deposit is required to secure your spot on any Roots & Routes trip. The deposit amount varies depending on the trip and is outlined on the booking page.

Is travel insurance required?

Yes, travel insurance is required for all Roots & Routes trips. Proof of insurance must be provided before your trip. This protects you in unexpected circumstances, such as trip cancellations, medical emergencies, or lost baggage.

Do you offer travel insurance?

Roots & Routes does not sell travel insurance directly, but we can recommend trusted providers. It’s important to purchase a policy that includes trip cancellation, medical coverage, and emergency evacuation.

What documents do I need to travel?

If Roots & Routes cancels a trip due to unforeseen circumstances, you will receive a full refund of all payments made, excluding any travel insurance costs or external arrangements you’ve made (e.g., flights). Roots & Routes is not responsible for additional expenses outside of our control.

What should I pack?

We’ll provide a detailed packing list specific to your destination after booking. Generally, you’ll need comfortable clothing, travel-sized toiletries, and any personal items you require.

What is included in a Roots & Routes group travel package?

Our group travel packages typically include accommodations, guided tours, select meals, and transportation as outlined in the itinerary. Specific inclusions vary by trip and are detailed on each trip page. Airfare is generally not included unless explicitly stated.

Do I need to book my own flights?

Yes, travelers are responsible for booking their own flights unless otherwise specified. We are happy to provide flight recommendations or assist in coordinating arrival times for airport transfers.

Are payments refundable?

Deposits are non-refundable. Other payments may be partially refundable based on our cancellation policy, provided written notice is received by the deadlines outlined in your booking confirmation. After the final payment deadline, all payments are non-refundable.

Can I transfer my booking to another person?

Yes, you can transfer your booking to another individual if you notify us in writing at least 30 days before departure. Additional fees may apply.

Are there any health requirements for participating in a trip?

We recommend that travelers are in good physical health and able to participate in activities outlined in the itinerary. If you have specific health concerns, please consult your doctor before booking. Vaccinations may be required depending on the destination; we’ll provide recommendations as needed.

What happens if I have a medical emergency during the trip?

Our team is trained to handle emergencies and will assist in accessing local medical care. However, it’s crucial to have travel insurance to cover medical expenses and emergency evacuation if necessary.

  • All deposits are non-refundable and non-transferable unless Roots & Routes cancels the trip.

  • Payments must be received by the specified deadlines.

  • Failure to pay on time may result in cancellation of your booking without a refund.

  • Late payments may incur additional fees as outlined in the booking agreement.

Trip Cancellation by Roots & Routes

  • Roots & Routes is not liable for trip cancellations due to circumstances beyond our control, including but not limited to:

    • Natural disasters

    • Pandemics

    • Political unrest

    • Airline strikes

  • In such cases, Roots & Routes will offer:

    • A rescheduled trip

    • Credit toward a future trip (refunds will not be issued).

  • If a trip does not meet the minimum number of participants, Roots & Routes reserves the right to cancel. A full refund of payments made will be provided.

Participant Responsibilities

  • Travelers are responsible for obtaining and providing valid travel documents, including:

    • Passports

    • Visas

    • Required vaccinations

  • Failure to meet these requirements may result in denied entry without refund.

  • Proof of travel insurance is mandatory and must be submitted before departure.

  • Roots & Routes is not responsible for any costs incurred due to lack of insurance.

  • Participants must ensure they are in adequate health to participate in the trip.

  • Any pre-existing medical conditions must be disclosed at the time of booking.

Liability

  • Roots & Routes acts as a travel facilitator and is not responsible for third-party services, including:

    • Transportation

    • Accommodations

    • Tours

  • Any issues with these services must be addressed directly with the provider.

  • By booking with Roots & Routes, participants acknowledge that travel involves inherent risks, including but not limited to:

    • Injury

    • Illness

    • Loss or damage to personal property

  • Participants agree to release Roots & Routes from liability for such risks.

  • Participants agree to indemnify and hold Roots & Routes harmless from any claims, damages, or expenses arising from their participation in the trip.

Behavior and Conduct

  • Participants are expected to behave respectfully toward:

    • Fellow travelers

    • Guides

    • Local communities

  • Roots & Routes reserves the right to remove individuals from the trip for:

    • Disruptive behavior

    • Unsafe actions

    • Illegal drug use or excessive alcohol consumption that disrupts the trip or endangers others

  • Removal for misconduct will not result in a refund.

Changes to Itinerary

  • Roots & Routes reserves the right to modify itineraries due to unforeseen circumstances, such as:

    • Weather

    • Local conditions

    • Safety concerns

  • While we strive to deliver all planned activities, certain elements of the itinerary are subject to change.

  • No refunds will be issued for missed activities due to changes.

Refund and Cancellation Policies

  • Deposits are strictly non-refundable.

  • Refunds for other payments will only be issued according to the timeline specified in the booking agreement.

  • Cancellations made close to the departure date are not eligible for a refund.

  • At Roots & Routes’ discretion, credits may be issued for cancellations under extenuating circumstances, such as medical emergencies.

  • Participants who fail to arrive at the designated meeting location on time will forfeit their payments without refund.

Photography and Media

  • By participating in a Roots & Routes trip, travelers consent to the use of their:

    • Photographs

    • Videos

    • Testimonials for promotional purposes

  • Travelers who do not wish to appear in promotional materials must notify Roots & Routes in writing before the trip.

  • Participants may take photos or videos during the trip for personal use but are prohibited from using these for commercial purposes without prior consent.

Dispute Resolution

  • All disputes will be governed by the laws of North Carolina/ United States

  • Any disputes arising from participation in Roots & Routes trips will be resolved through binding arbitration.

  • Both parties will be responsible for their own legal fees.

Booking Agreement

  • By booking with Roots & Routes, participants agree to these terms and conditions.

  • Bookings made electronically (via email or online) are considered legally binding and subject to these terms.
